Ken Hotels & Resorts Holdings Ltd. complies with the Act on the Protection of Personal Information, respects social order, and properly handles and protects personal information. These Privacy Policies describe our handling of personal information obtained from our guests and customers.

Personal information that is obtained from our guests and customers and personal data that are held by Ken Hotels & Resorts Holdings Ltd. are utilized only for the purposes stated below. If a guest or customer requests us to do so, we will stop providing information and/or services for the guest/customer.
- Businesses related to the management and operation of hotels
- Management and operation of hotels, ryokan (Japanese inns), restaurants and banquet facilities attached thereto
- Management and operation of restaurants, dining rooms and stores in hotels and ryokan (Japanese inns)
- Travel agency services based on the Travel Agency Act
- Providing personal information to any third party within the scope required for achieving the above purposes
- Sales promotion and marketing activities, via mail, phone calls, email and other means, for providing products, information and/or services as above. Such sales promotion and marketing activities include questionnaire surveys, delivery of gifts, giveaways and other such goods and research and analyses, such as customer trend analyses and product research and development.
- Contacting guests and customers whenever such contact is required
- Confirmation required for accounting audit
4. Joint use of personal information
In order to provide services of high value, Ken Hotels & Resorts Holdings Ltd. uses personal information jointly with specific individuals and entities under tight control and appropriate security measures as follows:

5. Security measures for protecting personal information
Ken Hotels & Resorts Holdings Ltd. manages and uses the personal information of our guests/customers with the utmost care, and takes reasonable and appropriate security measures to prevent any risks, including external unauthorized access of personal information, loss, corruption, damage, alteration and leakage of personal information and unauthorized external distribution of personal information. Each of our divisions handling personal information has a person responsible for information management, ensuring the appropriate management of personal information. In addition, we have established our information security regulations and make them thoroughly known to all employees.
6. Provision of personal information to third parties
Unless any of the items below apply, Ken Hotels & Resorts Holdings Ltd. does not disclose or provide personal information of our guests/customers to any third parties.
- When the guest/customer has given consent
- When the handling of personal information is subcontracted, entirely or partially, to a third party subcontractor, and personal information is provided to the subcontractor within the scope required for the subcontracting. In this case, Ken Hotels & Resorts Holdings Ltd. shall select a subcontractor that takes appropriate personal information protection measures and performs the necessary and appropriate supervision of the subcontractor.
- When disclosing or providing personal information is required to protect the life, body or property of a person and obtaining the guest/customer’s consent is difficult
- When the disclosure or provision is definitely required for the improvement of public health or the promotion of the sound development of children, and obtaining the guest/customer’s consent is difficult
- When collaborating with a national or local government agency, or an individual commissioned by such an agency, performing legal duties is required, and obtaining the guest/customer’s consent may disturb the performance of such duties
- When disclosing or providing a guest/customer name, address, phone number, email address and/or customer code, within the scope of purposes stipulated in 3. Purposes of utilization of personal information, to counterparties of contracts entered into by the guest or customer, including individuals, banks, management companies and other such companies that need to know such personal information in order to achieve the purposes of utilization. If the guest or customer requests us to do so, we will stop disclosing or providing such information.
7. Procedures for requesting disclosure, correction or personal information and filing complaints
- When a guest or customer requests the disclosure of the guest/customer’s personal information held by us, or when a guest or customer requests the correction of the guest/customer’s personal information that is incorrect, Ken Hotels & Resorts Holdings Ltd. will promptly disclose or correct the relevant information in accordance with our procedures. - The Personal Information Section of Ken Hotels & Resorts Holdings Ltd. will handle the requests stated in the preceding clause.
